Privacy Policy

WordTrack is a product of Romeo Golf Consultants LLC. This policy explains what we collect when you use WordTrack, why, and what choices you have.

• Account info: your name, email, and dealership.
• Usage: the customer messages you paste in, the replies WordTrack generates, which reply you use, and any feedback you give.
• Voice profile: if you turn it on, the sample messages you provide so replies sound like you.
• Technical: basic log and device data, and a hashed form of your IP address for security and rate limiting.
• Billing: handled by Stripe. We receive your plan and subscription status. We do not see or store your card number.

• To run the service and generate your replies.
• To improve WordTrack and the quality of its replies, especially during the beta.
• To provide support, handle billing, and keep the service secure.

While WordTrack is in beta, we review usage, such as the objections that come in, the replies generated, which ones get used, and your feedback, to make the tool better. We look at this to improve the product, not to monitor you.

WordTrack is a tool for salespeople. When you paste a customer message, avoid including sensitive personal details you do not need. We do not sell, and we do not use your customers' personal information to train models. You are responsible for handling customer information lawfully.

We do not sell your data. We share it only with the providers that run the service:

• Our AI provider (Anthropic), to generate the replies. It does not use this data to train its models.
• Stripe, for billing.
• Our hosting, database, and email providers, to operate the service.
• Authorities, only if required by law.

We keep your account and usage data while your account is active and for a reasonable period after, so we can improve the product, meet legal obligations, and resolve disputes. You can ask us to delete your account data.

We protect your data with encryption in transit, access controls, rate limiting, and other safeguards. No system is perfectly secure, but we work to keep yours safe.

• View and update your name, email, and password in account settings.
• Cancel your subscription anytime in settings.
• Ask us to delete your account data by emailing info@romeogolfconsultants.com.

We use essential cookies to keep you logged in and to secure the service. We do not use them to track you across other sites.
